Microsoft 365 is probably one of your business's most useful subscriptions — and also one of the most under-used. Most small businesses pay for the full thing but treat it as just Word, Excel and email, leaving genuinely helpful tools sitting unused. Here's what you're likely missing and how to actually get your money's worth.
It's far more than Office and email
The familiar apps are only part of the package. Depending on your plan, you're also paying for cloud storage, video calling and chat, security features and more — tools that, used properly, save real time and tighten up how your business runs. Leaving them switched off is like paying for a full toolbox and only ever using the screwdriver.
The tools most businesses overlook
- Teams — chat, calls and video meetings in one place. Used well, it cuts down endless internal emails and keeps conversations and files together. Many businesses have it and barely touch it.
- OneDrive & SharePoint — your files stored securely in the cloud, accessible from anywhere and backed up, with easy sharing instead of emailing attachments back and forth.
- Built-in security features — depending on your plan, tools to protect accounts and data that often aren't switched on by default. Paying for them and not enabling them is a wasted opportunity.
- Bookings, Planner and more — smaller tools for appointments, task management and collaboration that quietly make life easier once set up.
The security side you can't ignore
Because Microsoft 365 holds your email and files, securing it properly is essential — and this is where under-configured setups bite. The basics that should always be in place: multi-factor authentication switched on for everyone, sensible sharing and access settings, and a clear process for removing access when someone leaves. These don't happen by themselves; they need setting up.
Don't assume it's all backed up
A common and dangerous myth: "it's in Microsoft 365, so it's backed up." Microsoft keeps the service running, but recovering data you've deleted or that's been compromised isn't as guaranteed as people assume. Many businesses add proper backup for their 365 data for genuine peace of mind — worth a read alongside our piece on data backups.
Getting it set up properly
Getting full value from Microsoft 365 isn't about being a tech expert — it's about having it configured and explained properly: the right tools switched on, security in place, licences matched to what you actually need (so you're not over-paying), and your team shown how to use it.
